We’re seeking a proactive, highly organised Executive Officer to support our Board and volunteer committees. This part-time role offers broad exposure to member and sponsor engagement, grant making, events, governance and day-to-day operations.

Melbourne Women’s Foundation is a leading giving circle supporting women facing disadvantage in Melbourne. Since 2014, our members have distributed close to $1.5 million to local organisations improving women’s lives.

POSITION DESCRIPTION
Role Aim
Serve as a key enabler for MWF to achieve its goals – to flourish as a leading Australian giving circle committed to a future where women who are vulnerable and their families thrive.
Success in this role will see:
- Board and committees well-supported with timely, accurate information.
- MWF’s operations, grants and events delivered smoothly and on time.
- CRM and financial systems accurate, up to date and support decision-making.
- Members, partners and stakeholders experience professional responsive engagement.
Position time allocation and salary range
3.0 days per week (these hours can be undertaken across more than 3 days if preferred)
$85,000 – $95,000 Full Time Equivalent (inc. Super), prorata
Reports to
MWF Board via the MWF Board Chair
Overall responsibilities
(1) Manage the day-to-day operations of MWF including:
- Engagement Support: working with volunteers to deliver annual marcoms and events plans.
- Finances: Work with the Treasurer and Board members to activate grants and other payments.
- CRM Management: Actively maintain and manage MWF’s CRM ensuring uploading of engagement on records, monitoring of membership status and activation of follow ups and production of reports.
- Compliance: Work with the Company Secretary to manage compliance, including regulatory, and other reporting.
- IT Systems: assist Board member and volunteer onboarding processes and enable access to relevant systems.
(2) Support the Board with reports, updates, and information to assist them to monitor and manage MWF and achieve its strategic objectives.
(3) Work with MWF Committees and Committee Chairs, supporting them to progress their responsibilities. Activities will include but are not limited to:
- Grants Support: assist annual grants round external promotion and liaise with organisations applying for grants. Support the Grants Committee’s grantmaking process.
- Membership and Development Support: assist in engaging with stakeholders to maximise member and sponsor continuity, and support Board member engagement with potential new members and corporate partners.
(4) Help ensure MWF’s human, financial, and material resources are used appropriately to further its mission with an appropriate level of risk.
(5) Represent MWF at events on relevant women’s issues, promoting MWF and its work, and gathering information to inform our actions and focus.
Skills Required
- Demonstrated experience in executive support, non-profit management or similar roles and strong attention to detail.
- Excellent organisational and time management skills with ability to manage multiple priorities.
- Commitment to the values and mission of the Melbourne Women’s Foundation.
- Superior communication skills, including writing skills for reports and digital platform content, grant submissions and the ability to communicate with confidence.
- Relationship and stakeholder management – experience managing relationships and engaging stakeholders to support organisational objectives.
- Strong technical skills including experience working with CRMs (Hubspot ideally), website software, and Microsoft 365.
- Ability to manage budgets.
- Fundraising experience and/or experience and understanding of philanthropy will be an advantage.
- Ability to work some evenings when MWF events are held.
- Ability to work independently with minimal supervision while maintaining accountability to the Board.
Location
The role is primarily a work-from-home based position, however if there is a preference, a separate location may be able to be identified.
