  • Based on $75,000–$80,000 per annum (38 hour FTE pro rata)

Rainbow Giving Australia (RGA) is a national LGBTQIA+ community foundation, formed in 2024 from the merger of GiveOUT and Aurora. We exist to build a better-funded, more connected, and more sustainable LGBTQIA+ community sector. In the past year, we have raised and distributed over $1.2 million for 125 organisations.

We do this through:

  • Mobilising and distributing funding for LGBTQIA+ community organisations and projects (including via GiveOUT Day, Sweat with Pride, and our Amplify and Ignite grants).
  • Conducting research and advocacy to increase investment in LGBTQIA+ communities.
  • Providing capacity-building tools, training, and infrastructure to help LGBTQIA+ organisations thrive.

Our key annual programs include:

  • Sweat with Pride: A peer-to-peer fitness fundraiser that challenges Aussies to get sweaty every day during June (Pride Month).
  • GiveOUT Day: A national giving day for the entire LGBTQIA+ community sector in October.
  • Aurora Ball: Our fundraising gala that brings our community and supporters together for an unforgettable night of celebration and impact.
  • National grants: Through Amplify (large grants), Ignite (small grants) and Spark (responsive grants) we help supercharge LGBTQIA+ organisations—especially those supporting underfunded communities.

About the role

The Program and Admin Coordinator is an all-rounder role, providing cross-organisational support across RGA’s key programs, systems, and operations.

You’ll work closely with the CEO and a small, passionate team, playing a hands-on role in delivering our major initiatives and keeping things running smoothly behind the scenes. This is a dynamic role for someone who thrives on variety, collaboration, and making things happen.

Key responsibilities

This role works closely with the CEO and team leads, and is structured across three areas:

1. Program support (60%)

Support and work closely with project leads in the delivery of RGA’s major initiatives, including GiveOUT Day, Sweat with Pride, the Aurora Ball, grant programs, and research efforts:

Major fundraising projects

  • Support program administration, processes and logistics, ensuring things are well-organised and on schedule
  • Support participants and stakeholders and triage their needs with a friendly, solution-focused approach

Other RGA projects

  • Support the administration of grant rounds
  • Maintain public databases (e.g. ThePrideGuide, etc.), ensuring they’re kept up to date and user-friendly

2. Operations support (30%)

Support the administration of RGA’s internal systems, governance, and processes:

  • Monitor and triage RGA inboxes, ensuring timely responses or delegation
  • Maintain internal systems and file management (Google Drive, password tools, CRMs, Notion, etc.), with well-organised structures and up-to-date info
  • Process basic finance tasks (e.g. invoices, reimbursements), with training and support provided
  • Assist with governance administration (e.g. scheduling, board papers, compliance documentation)
  • Work closely with the Operations Manager to ensure effective use and compliance of systems and processes
  • Support funding, acquittal, and reporting activities
  • Provide admin support to the CEO and coordinate across the team with clear, proactive communication

3. Marketing and communications support (10%)

Working closely with the Marketing and Communications Manager:

  • Help draft and coordinate content for eDMs, newsletters, and social media
  • Assist with updates to website and digital tools
  • Support event marketing tasks such as researching suppliers, gathering quotes, and coordinating logistics

About you

The Program and Admin Coordinator’s essential skills and competences include:

  1. Strong admin and project coordination skills: Able to keep things organised, on track, and moving forward across multiple priorities.
  2. A team-player mindset: Enthusiastic about working closely with a small, collaborative team, and supporting wherever needed.
  3. Initiative and follow-through: Comfortable working independently, using good judgment, and taking ownership to see tasks through to completion.
  4. LGBTQIA+ awareness and inclusivity: Understanding of LGBTQIA+ communities, with a respectful, inclusive, and community-centred approach.
  5. Confidence with digital tools: Familiarity with admin and communications systems (e.g. Google Suite, Notion, Raisely), or a willingness to quickly learn.
  6. Clear communicator: Strong written and verbal communication skills, with the ability to write, proof, and format professional documents.
  7. Proactive attitude: Keen to pitch in, solve problems, and grow with an organisation that’s fast-paced and purpose-driven.

Some aspects of Rainbow Giving Australia’s work (such as the Aurora Ball, community events, board meetings and stakeholder engagement) take place outside standard business hours. This role may therefore occasionally involve some evening or weekend work, particularly during peak campaign periods (e.g. GiveOUT Day and Sweat with Pride). We always communicate these requirements in advance and discuss them with staff as part of regular planning. Flexibility is both requested and supported, with work hours managed in line with RGA’s time-in-lieu and flexible work arrangements.

Salary

We believe in pay transparency. The advertised salary range reflects the diversity of experience, skills, and responsibilities candidates may bring. Candidates newer to similar roles or requiring support may be offered the lower range, while those with substantial experience or the ability to strengthen internal systems may be offered the higher range.

  • Reference checks and decision: Within 1 week of final interviews
