Are you passionate about enabling impact through smart systems, insightful data, and strong processes? At the Paul Ramsay Foundation (PRF), we’re committed to breaking cycles of disadvantage in Australia — and we’re looking for a Data Management Associate to help us do that, better.
Working closely with our Manager, Delivery Impact and across the wider Foundation, this role is pivotal in driving the effective use and continuous improvement of our Grants Management System (GMS) – Giving Data and related data capture and reporting capabilities.
This role is perfect for someone who enjoys working at the intersection of systems, data, and collaboration — someone who thrives on building tools and training others to use them well, with a keen eye for detail and a desire to support lasting change.
In this role, you will:
- Lead system improvements by maintaining and enhancing PRF’s grants management system, with a focus on data integrity and using insights to drive stronger decision-making and impact.
- Champion data excellence by supporting best practice in internal data policies and helping colleagues improve data quality across their work.
- Enable insight by preparing high-quality materials including dashboards (e.g. Power BI), reports and presentations for internal use.
- Drive innovation by shaping the continuous development of our systems and data tools – from designing and testing enhancements to managing rollouts.
- Collaborate with vendors to ensure smooth delivery of system updates, bug fixes and new features.
- Support change management by advising on and implementing systems or process changes aligned to broader strategy or specific operational needs.
- Build capacity by designing and delivering training and support materials to help internal users navigate systems effectively, including onboarding sessions and refreshers.
- Support grant delivery by working with specific program or “package” teams as needed to contribute to impactful partnerships and initiatives.
Desired skills and Experience
- A collaborative, consultative working style, promoting inclusion and engagement across diverse teams.
- Strong technical capability, with experience supporting grant management systems (ideally GivingData or similar).
- Excellent attention to detail, high-level comfort working in databases, and strong critical thinking and problem-solving skills.
- High-level Excel skills and demonstrated experience managing and analysing large volumes of data.
- Experience maintaining complex databases and visualising data using tools like Power BI.
- Excellent interpersonal and communication skills, including the ability to prepare executive-level memos and presentations, and engage with stakeholders in a confident and respectful way.
- Strong organisational skills with the ability to coordinate projects, manage competing deadlines, and follow through reliably.
- A self-starter who takes initiative and contributes beyond their immediate role, while reliably actioning tasks assigned by others.
- Experience supporting change management, particularly related to systems or data tools, in high-functioning, cross-functional teams.
- Integrity, adaptability and a strong connection to PRF’s values: Courage, Curiosity and Connection.
Desirable:
- Experience working in or with philanthropic or social purpose organisations.
- Understanding of grantmaking and for-purpose reporting requirements.
- Lived experience or experience working directly in PRF’s areas of focus.
- Experience with CRM platforms and/or a strong interest in applying AI to support data management and analysis.
- Relevant undergraduate qualification or equivalent experience; postgraduate qualification is a plus.
